Job Description
Anglican Development Services–Pwani (ADS Pwani) is the development arm of the Anglican Church of Kenya, serving communities within the Coast Region through the Dioceses of Mombasa, Taita Taveta, and Malindi. The organization operates across six counties: Mombasa, Kwale, Lamu, Taita Taveta, Kilifi, and Tana River. ADS Pwani is registered as a company limited by guarantee and is governed by a Board of Directors drawn from the three dioceses. Monitoring and Evaluation Assistant
- The position reports directly to the Executive Director.
Key Responsibilities
- Develop, implement, and maintain the organization’s Monitoring and Evaluation (M&E) system.
- Keep project teams informed of progress toward project targets and outcomes.
- Be responsible for Humanitarian Accountability activities.
- Serve as the organization’s communication and publicity focal person.
Key Qualifications
- A university degree in Monitoring and Evaluation, Statistics, Social Sciences, Strategic Management, Economics, or a related field.
- A postgraduate qualification in Monitoring and Evaluation.
- At least three (3) years’ experience in the design and implementation of M&E/MIS systems in development projects implemented by national or international NGOs or Government institutions.
- Experience in designing tools and strategies for data collection, analysis, and report writing.
- Proven ICT skills, particularly in the development of MIS software using database applications.
- Expertise in the use of media platforms including websites, Facebook, Twitter, LinkedIn, and WhatsApp.
- Experience in data analysis using statistical software.
- Experience across the project management lifecycle, including proposal writing.
- Demonstrated quantitative and qualitative data analysis skills.
2. Project Accountant (2 Positions)
- The position reports directly to the Finance Manager.
Key Responsibilities
- Prepare daily financial transactions and maintain accurate books of accounts.
- Compile and present financial reports.
- Consolidate financial supporting documents from the field.
- Process project expenses and staff salaries.
- Monitor all organizational financial transactions.
- Prepare monthly bank reconciliation statements.
- Ensure adherence to approved organizational and project budgets.
- Monitor cash flow and maintain an up-to-date Finance and Administration filing system.
- Ensure compliance with donor requirements, national laws, and organizational policies and procedures.
- Submit financial records for donor verification and approval by the 5th of the month following the reporting period.
- Ensure strong internal controls through adherence to accounting systems and procedures.
- Support planning, preparation, monitoring, and implementation of the annual budget.
- Support smooth office operations, including Human Resources, Administration, and Procurement functions.
- Participate in relevant workshops and seminars.
- Ensure quality, consistency, and confidentiality in record keeping.
- Ensure timely procurement of essential office supplies.
- Perform any other duties as assigned by the Finance Manager.
Key Qualifications
- CPA (K) qualification and membership with ICPAK or progress toward completion.
- Bachelor’s degree in Finance, Accounting, or a related field (desirable).
- At least three (3) years’ experience working on donor-funded projects.
- Experience in an audit environment will be an added advantage.
- Proven experience in a busy accounting office with supervisory responsibilities.
- Proficiency in computerized accounting systems such as QuickBooks, ERP, Excel, and other Microsoft Office applications.
- Ability to work as a team player with minimal or no supervision.
- Strong interpersonal skills and ability to work under pressure and meet tight deadlines.
- Ability to manage work-life balance and work independently.
- High level of accuracy, attention to detail, and ethical conduct in line with professional and organizational codes of ethics.
3. Human Resource Management Assistant
- Manage HR administration, including contracts and personnel files.
- Ensure recruitment and selection processes are followed and required checks completed.
- Coordinate onboarding and orientation for new employees.
- Support development of job descriptions, shortlisting, interviewing, and selection of candidates.
- Prepare and maintain employee personal files.
- Support employees to identify behaviors that promote service excellence.
- Address and resolve employee queries.
- Contribute to the development and implementation of HR policies and procedures.
- Support the internship and industrial attachment training program.
- Ensure accurate and up-to-date data entry into HR software systems.
- Support employee relations matters, including disciplinary, grievance, and capability processes, in a confidential manner.
- Ensure compliance with Kenyan labor laws and statutory requirements.
- Maintain confidentiality at all times and share information strictly on a need-to-know basis.
- Perform any other duties as assigned.
Key Qualifications
- A degree in Human Resource Management from a recognized university with a minimum of two (2) years’ experience in an HR role; or
- A diploma in Human Resource Management with a minimum of three (3) years’ experience in a similar role.
- Professional qualification and membership in good standing with a recognized HR professional body.
- Proficiency in Microsoft Office applications; experience with HR software is an added advantage.
- Demonstrated knowledge and working experience of Kenyan employment laws.
- Understanding of statutory deductions related to employment income in Kenya.
