Job Description

The Assistant Office Administrator III reports to the School Main Office and works closely with staff, parents, guardians, learners, and other stakeholders by providing information and administrative support as required. This is a highly visible and varied role, offering comprehensive and confidential administrative support in line with the school’s mission and vision.
Key ResponsibilitiesDuties and responsibilities at this level include:
  • Taking oral dictation
  • Word and data processing
  • Managing the e-office
  • Ensuring security of office records, documents, and equipment
  • Maintaining an up-to-date office filing system
  • Operating office equipment
  • Managing office protocol
  • Managing office petty cash
  • Handling telephone calls and appointments
  • Supervising office cleanliness
  • Undertaking any other office administrative duties as assigned

Requirements for AppointmentApplicants must meet one of the following qualifications:
  1. Kenya Certificate of Secondary Education (KCSE) with a mean grade of C– (minus), with at least C (plain) in English or Kiswahili, or equivalent qualification from a recognized institution; AND
  2. Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC);
OR
  1. Business Education Single and Group Certificates (BES & GC) from KNEC in the following subjects:
  • Typewriting III (50 w.p.m.) / Computerised Document Processing III
  • Shorthand II (80 w.p.m.)
  • Business English II / Communications I
  • Office Practice II
  • Secretarial Duties II
  • Commerce II
  • Office Management III / Office Administration and Management III
  1. Certificate in Computer Applications from a recognized institution
  2. Demonstrated merit and ability as reflected in work performance and results
